The operating memory for physical sites

Give every building a memory.

FacilityMemory brings every asset, manual, warranty, contractor, repair and recurring fault into one AI interface — so teams can understand what they own, what happened before, and what to do next.

How it works

One site. Four practical steps.

Start with the records you already have. We organise them around your assets, then work with your team to test the answers against real operational questions.

01
📍

Choose your pilot site

Agree the building, priority equipment and questions your team needs to answer. A typical starting scope is approximately 100 significant assets.

02
📚

Bring the records together

Share asset registers, manuals, warranties, service reports and contractor details. Equipment photos and nameplates help fill gaps in the asset record.

03
🔎

Connect and check

We organise the records by site and asset. Your team reviews important details and missing information before relying on the site memory.

04
💬

Ask, use and update

Find previous repairs, relevant manuals and contractor details through plain-English questions. Add new service records so the knowledge stays with the building.

What does a successful pilot look like?

Your team can find the right records faster, understand an asset’s history and identify gaps that need attention. We agree the questions and success measures with you before starting.

What FacilityMemory knows

Your building, remembered.

Each asset gets a living operational record rather than another disconnected folder of PDFs.

🏷️
Assets and locationsWhat equipment exists, where it is, who made it and its model/serial details.
🛠️
Maintenance historyPrevious faults, engineer visits, parts replaced, recurring issues and costs.
📚
Manuals, warranties and complianceDocumentation, service instructions, inspections, certificates and warranty status.
🤝
Contractors and suppliersWho maintains what, SLAs, call-out arrangements and preferred parts sources.
From memory to action

Know the site. Understand the issue. Move faster.

FacilityMemory connects the information already scattered across your building into one operational layer that helps facilities teams answer questions, spot patterns and coordinate the next step.

Capture

Asset record

Photograph equipment, import registers and create a structured record for every significant asset.

📚
Connect

Site knowledge

Link manuals, warranties, certificates, contractors, service reports and previous work to the right asset.

🔎
Understand

Operational context

See recurring faults, previous interventions and the history behind the problem in front of you.

🛠️
Coordinate

Next action

Surface the right contractor, warranty, service information or maintenance requirement without searching multiple systems.

Act

Resolve faster

Turn an answer into a clear action: contact, repair request, work order, inspection or replacement decision.

Learn

Keep the memory

Record the outcome so the next manager or engineer starts with the full history rather than from scratch.

Ask the site

Stop searching the filing cabinet.

?
“Who repaired boiler 2 last time?”Returns the engineer, date, repair notes and related service record.
?
“Is the walk-in freezer still under warranty?”Checks installation date, warranty document and service history.
?
“Which assets keep failing?”Surfaces recurring problems and repeated maintenance spend.
?
“Arrange the repair.”Moves from knowledge into a clear next step, with the relevant history and documentation already attached.
Operational memory

Every job makes the site smarter.

Repair outcomesWhich intervention solved the problem and what was actually replaced.
Supplier performanceWho responded, who attended and how quickly the job was completed.
Recurring patternsWhich assets, areas and fault types repeatedly consume time and money.
Institutional continuityOperational know-how remains with the site even when people or contractors change.
Where it starts

Built for operationally complex sites.

The first wedge is multi-site commercial property, where equipment, documents and contractor knowledge are fragmented but downtime matters.

🏨

Hotels

HVAC, boilers, lifts, kitchens, refrigeration, laundry, fire systems and 24/7 operations.

🏥

Care homes

Critical maintenance, regulated inspections, multiple suppliers and constant operational continuity.

🏬

Retail estates

Repeatable site structures, dispersed assets and central facilities teams managing many locations.

🏙️

Managed property

Give each managed building its own persistent operational memory under your brand.

About FacilityMemory

Knowledge that stays with the building.

We are developing FacilityMemory to help the people who run buildings find, understand and retain the information they need to keep their sites working.

Why we exist

A building’s operational knowledge is often spread across folders, inboxes, service reports and the memories of individual managers and contractors. When someone leaves, that knowledge can leave with them.

Our aim is simple: give every site a lasting, usable memory of its assets, maintenance history and practical know-how.

What we are building

FacilityMemory brings asset records, manuals, warranties, repair history and contractor information together around the physical building. Teams can ask questions in everyday language and find relevant records to help inform the next step.

Who it is for

We are focused on facilities and engineering teams in hotels, care homes, retail estates and managed commercial properties — places where reliable access to operational information matters every day.

Our approach

Start with one site, organise its existing records and test the system against real questions from the people who maintain it. Our pilot programme is designed to establish where FacilityMemory saves time and where the site’s information needs improvement.

Talk to us

If you manage a site or support facilities teams, we would welcome a conversation about a pilot.
